How to Answer to Google Reviews: Complete 2026 Guide

To answer to a Google review, open a verified Business Profile, tap Reply, write a public note that names what the customer wrote, and submit it. Google checks owner replies against its content policies before they go live. The reply posts as the business, not as your personal name. The reviewer is notified and can still edit the review afterward. That workflow is in Google’s manage-reviews help. The rest of this guide is how to write the reply so later customers trust you.
This is the cluster pillar. Star-by-star pages, examples, speed, and the local SEO question all hang off it.
How a Google owner reply actually works. You cannot reply until the profile is verified. In Business Profile, open Read reviews, choose Reply, type the text, and submit. Google then reviews that text for policy. Google says most replies clear in about 10 minutes; some sit as long as 30 days. If the reply is rejected, you are asked to edit it. If it is approved, it appears under the review as the business. Your personal name is not shown. The customer who wrote the review gets a notification. They can change their review after they read you. If they change it, the date on the review updates to the latest edit. You can later edit or delete your own reply from the same reviews view. Photo updates from customers are separate: you can reply to those, and they do not change your star rating. Third-party reviews may also appear on some profiles. Source: Manage customer reviews. What is a Google review answer?
A Google review answer is the public owner reply under a rating on Search, Maps, or the Business Profile manager. It is not a private message, not a Google Chat, and not a review you write about yourself. Shoppers who open your listing can read it without logging in.
People also say “respond to Google reviews” and “Google review reply.” Same object. This site uses “answer to” in titles because that is how a lot of owners search, including on this blog already.
How do you reply to a Google review step by step?
- Verify the Business Profile if it is not verified.
- Open the profile and choose Read reviews (or open the listing on Maps).
- Select Reply next to the review.
- Write the reply. Do not paste a coupon, a staff home address, or a demand to delete the review.
- Submit and wait for Google’s policy check.
If the review itself looks like spam, paid content, or a competitor hit, flag it. Flagging is not a reply. Google’s report help says you can report any review, but only policy-violating reviews are eligible for removal. Details: Can businesses remove Google reviews? and How to answer to fake Google reviews.
How should you structure the reply?
Use four moves, then stop:
- Thank them for the specific visit or job, not “your feedback.”
- Name the thing they named (the wait, the crown, the room, the advisor).
- If something broke, say what you will do, not that they are wrong.
- Offer a private path (phone or email already on the listing) when the issue is unresolved. Do not drop a new personal number if policy or privacy is a concern; the listing contact is enough.
Length: two to six sentences for most reviews. A 5-star “great!” needs less. A 1-star with a timeline needs more, still not a deposition.

Short version:
Stars | Public job | Common failure |
|---|---|---|
1 | Protect later readers. Invite a private follow-up. Do not try the case. | Arguing, calling them a liar, offering money to delete |
2 | Own the named miss. Say the operational fix. | Treating it like a 1-star catastrophe or a 5-star thanks |
3 | Keep the compliment. Fix the one complaint. | Ignoring 3-stars because they feel “neutral” |
4 | Thank them. Answer the ding. | Pretending it was a 5 |
5 | Thank the specific detail. Stop. | Coupons for the review, keyword stuffing, identical paste |

Should you answer to every Google review?
Almost every genuine review, including the 5-stars. Skip or delay when a lawyer is already in the thread, when the text is a policy violation you are flagging, or when publishing would confirm a medical visit. The decision page is Should you answer to every Google review?.
Google has not made “100% reply rate” a documented ranking rule. The customer-service case is simpler: later shoppers scroll. Empty owner-response slots read as absence.
How quickly should you answer?
Fast enough that the last screen of reviews is not a week of silence. There is no published Google SLA. Many operators aim for 24–48 hours because the reviewer is notified and because Maps users sort by newest. See How quickly should businesses answer to Google reviews?.
Do not answer a 1-star in the first ten minutes if you are still angry. Google’s policy check already inserts a delay. Use it.
Does answering to Google reviews help local SEO?
Reviews and ratings can help prominence. Owner replies have not been listed as a ranking factor. Google’s wording is that replies show you value feedback and that helpful replies can help you stand out. That is the entire published claim. The longer, sourced version is Does answering to Google reviews affect local SEO?. Local ranking help: relevance, distance, prominence; more reviews and positive ratings can help.
Do not stuff city + service keywords into every thank-you. Prohibited content already bans advertising and solicitation in Maps contributions, and Google reviews owner replies before they go live.
What happens after you click Reply?
Google reviews the text. The reviewer gets a notification. They can edit the review. Your old reply can sit under new wording. Edit or delete your reply if the facts changed. Full mechanics: Can a customer edit a Google review after you answer?.
Can you use AI to draft the reply?
Yes, if you still read it. A general chatbot does not know your refund rule or which technician was on the job. A review-specific draft is faster. BoltReply is a Chrome extension that writes a draft on the Google page in about five seconds from a saved brand profile; you still hit publish. It is the wrong tool if you need a 200-site inbox or automatic posting. Comparison context: Best AI review answer tools in 2026. Paste-in option: /tools/ai-review-answer-generator.
AI does not make a fake review genuine. Flag those.
Platform differences you will hit the same week
Google is not Yelp or TripAdvisor. Yelp gives a public Comment and a Direct message, and you can edit the Comment. TripAdvisor allows one management response, may take up to two days, and you cannot edit; you delete and resubmit. Guides: Yelp, TripAdvisor, product landings at /platforms/google-business-profile, /platforms/yelp, /platforms/tripadvisor.
A reply you can steal the shape of (composite)
Review (composite, 2 stars): “Food was fine. We waited 35 minutes for a table we booked.”
Owner reply:
Thanks for coming in on Saturday, Mara. A 35-minute wait on a reservation is not the standard we set. We added a host on the 6–8pm seatings starting this week. If you send the reservation name to the email on our listing, we will make the next booking right.
That names the miss, states an operational change, and moves details off the thread. It does not offer a free dessert for deleting the review. It does not say “we’re a family-owned downtown Italian restaurant in [city] serving handmade pasta.”
What mistakes show up in owner replies?
These fail in public even when the facts are on your side:
- Arguing the check, the wait, or the weather. Later readers were not at the table.
- “Please delete this and we will refund you.” Google forbids incentives to revise or remove a review.
- Naming a staff last name, a patient, or another guest.
- Copy-pasting the same three sentences under ten different 5-stars.
- Turning the reply into a local-SEO paragraph: city, category, product list, booking URL.
- Sarcasm. It reads as contempt on a phone screen.
If you already published one of those, edit or delete the owner reply. Google documents that path. Then write the version a stranger should see. What not to say is the longer list.
How do photo updates and service-type reviews fit?
Google’s manage-reviews help says customers can post photo updates. You can reply to those. They do not change the star average. Treat the reply like a caption correction: hours, a sold-out item, a closed patio. Do not treat a photo of a dirty table as a 1-star just because there is no numeric rating next to it. The public still sees it.
Service businesses may see a service chip on the review (the job type the customer picked). If they wrote “install” and you did “repair,” you can name the job you have on the work order without dumping the whole invoice in Maps.
How should multi-location brands reply?
One voice, local facts. The reply should still name the store, the date, and the miss. A corporate paste that could sit on any of 40 listings tells the next customer nobody at that address read them. Give each location a manager who can approve 1-stars. Keep refund rules in a shared note so Pro Mode or a human does not invent a policy.
If you use a Chrome extension such as BoltReply, store the brand voice once and the location details in the business profile. Still read 1-stars. A draft that thanks the wrong city is worse than typing slowly.
What should you measure on the reply program?
Coverage: share of genuine reviews with an owner reply. Freshness: unanswered reviews older than 48 hours. Quality: spot-check ten replies a month for paste, policy, and named details. Insights: calls, website taps, direction requests. Do not build a dashboard that “proves ranking from replies.” The SEO page explains why that proof is not in Google’s docs.

What if Google rejects the owner reply?
Google says it will ask you to edit a reply that fails content policy. Common causes: a URL or phone that looks like an ad, a personal detail, a threat, or a rant that matches harassment rules. Strip the extra, keep the apology and the private path, resubmit. Do not pack the same blocked sentence into a new draft.
If the review itself is the policy problem, flag the review. Do not try to “correct” a fake by accusing the writer in the reply box. Can businesses remove Google reviews? is the removal path. Google review answer policy guide is the owner-reply list.
A weekly checklist that actually fits a small shop
- Newest-first pass. Reply to genuine reviews from the last 48 hours.
- Flag anything that looks paid, off-topic, or conflict-of-interest. Do not argue those in public.
- Pull 1-stars into your ticket system for the offline fix.
- Spot-check two 5-star replies for paste.
- Once a month, read the listing as a stranger on your phone. If the last visible owner notes are identical, rewrite the next ones.
That is the whole program. The spoke posts exist when a star number or a platform needs more than this page.
Frequently asked questions
Do I need Google Business Profile Manager, or can I reply on Maps?
Either path works once you are verified. How review replies work on Google Maps covers the Maps UI.
Why is my reply not showing?
Google may still be reviewing it. Google says that can take up to 30 days in the slow case. A policy rejection asks you to edit. A network delay is different from a ranking issue.
Should I reply in the customer’s language?
If you can write it accurately, yes. A broken machine translation that mangles an apology can be worse than English. Match the review when you have a fluent speaker.
Can I ask them to change the stars?
Not in exchange for money, discounts, or free goods. Google forbids incentives for posting, revising, or removing reviews. Fix the problem privately. If they edit on their own, the date on the review changes.
Are no-text star ratings worth a reply?
A star with no words still sits on the listing. A short “Thanks for the 5, Jordan. Glad the timing worked Friday.” is enough. For a no-text 1-star, invite them to tell you what happened using the listing contact.
Open the oldest unanswered genuine review on your profile and write one reply today using the four moves above. Then work newest-first so the public face of the listing is current. The spoke pages exist when the star number needs more than this pillar.
