Use restaurant review templates as a skeleton, then rewrite them with the dish, the wait, and the name in the review. Do not paste the same paragraph under every Google, Yelp, or TripAdvisor post. Identical replies look unattended. Future diners read your answer next to the stars before they book.

Google's manage reviews help (https://support.google.com/business/answer/3474050) says you must be verified to reply, the reply posts as the business, Google reviews it for policy, and the customer is notified. Customers can edit after you answer; the date then updates, and you can edit or delete your own reply. Local ranking (https://support.google.com/business/answer/7091) uses relevance, distance, and prominence. Prominence includes reviews and ratings. Replies "show that you value their feedback," and "Positive reviews and helpful replies can help your business stand out." Google has not named owner replies as a ranking factor. Prohibited content (https://support.google.com/business/answer/2622994) still applies to owner replies: no personal information, no advertising pitches, no incentives to post, revise, or remove reviews, and no harassment. A restaurant reply that names a guest's allergy in public, or offers a free dessert for a deletion, is a policy problem as well as a hospitality problem.

Every example below is a labeled composite, not a real restaurant, reviewer, or server.

How should a restaurant answer to a 1-star review?

Name the failure they described, apologize for that night, and move comps, refunds, and ticket arguments to a phone call. The public sentence is for the next diner who is still deciding whether to book. Keep the check debate off Google. A calm 1-star reply will not erase the star.

It will show that a manager actually read the plate complaint.

Composite example, 1-star, cold entrée:

"Hi Jordan, I'm sorry the chicken arrived cold and that it took a second visit from the server to send it back. That is not the plate we want to serve. Please call the manager line so we can look at that ticket and make this right with you."

How should a restaurant answer to a 2-star review?

A 2-star post is often a fair visit with one loud miss: slow seating, a wrong cocktail, a noisy two-top next to a birthday. Own the miss. Do not pretend the rest of the night did not happen if they also praised a dish.

Composite example, 2-star, reservation wait:

"Hi Priya, I'm sorry you waited 35 minutes past your 7:30 reservation. We seated you late, and that is on us. Please email nights@example.com so we can review that book and look after your next visit."

How should a restaurant answer to a 3-star review?

Treat three stars as usable feedback, not as an insult you need to win. Thank them for the specific praise, name the specific drag, and skip talking them up to five stars in public. A 3-star diner often comes back if the slow dessert or loud table gets a real note.

Your reply should sound like the pass got the message.

Composite example, 3-star, great pasta, slow dessert:

"Hi Marcus, thank you for the kind words on the cacio e pepe. I'm sorry dessert took 25 minutes after you asked. We will take that timing to the pass. We hope you will let us buy the next sweet on a return visit; email us if you would like that set up."

How should a restaurant answer to a 4-star review?

Four stars are often a nearly complete night plus one nit. Thank the detail they gave. Acknowledge the nit without writing a 1-star crisis apology. Invite them back with something more specific than "hope to see you soon," such as the night of week they came or the plate they named.

Composite example, 4-star, loved the branzino, sticky table:

"Hi Dana, we are glad the branzino hit. I'm sorry the two-top felt sticky when you sat down. We will send that note to the closer. Thank you for coming in on a Tuesday."

How should a restaurant answer to a 5-star review?

Repeat one concrete joy from the review: a dish, a server first name, or a birthday plate. Do not reply with a generic thanks that could sit under a tire shop. Do not stuff city names into the goodbye. Other diners use 5-star replies to decide what to order and who to request.

Composite example, 5-star, named server and dish:

"Hi Sam, thank you. We will tell Luis you loved the lasagna and that he handled the gluten-free request without a fuss. We are glad the birthday table worked. See you next time."

How should you reply when the review is about a wait or a reservation miss?

Say the minutes if they gave minutes, then give a manager contact. Do not blame the last table that would not leave. Do not blame the guest in public for arriving a little late. Future readers only see whether you owned the book. The argument about who was on time belongs on a call.

Composite example, walk-in wait:

"Hi Alex, I'm sorry the walk-in wait hit 50 minutes and that we did not update you at the 30-minute mark. Please text the host stand number on your receipt if you still want us to look at that night."

How should you reply when an allergen or dietary request went wrong?

Take an allergen miss seriously, move extra details off the listing, and do not add a diagnosis. You can name the request they already published, such as a gluten-free bun, without restating a medical condition. Get them to a manager the same day. A public medical debate helps nobody waiting to book.

Composite example, allergy mishandling (they already wrote "nut allergy" in the review):

"Hi Kim, I'm sorry the kitchen missed the nut allergy note you gave the server. Please call us today so we can trace that ticket with you. We will not discuss your health details on this page."

How should you reply to a noisy night or a special-occasion miss?

Own the occasion they named. A missed anniversary plate hurts more than a slow water refill, and readers can tell if you treated it like a routine note. Do not argue that the dining room is supposed to be lively. Offer a quieter table or a private email for the next booking.

Composite example, anniversary:

"Hi Lee, I'm sorry we missed the anniversary note and that the table by the bar felt too loud for that dinner. Please email events@example.com so we can set a quieter table and a dessert on us for your next booking."

How should you reply when the review names a server?

If the note is praise, pass it on in the reply using the first name they already used. If the note is a complaint, keep coaching private. Thank them for flagging the service, apologize for the result (the wait, the wrong plate), and do not scold the employee in public.

Composite example, complaint that names a server:

"Hi Morgan, I'm sorry the wrong cocktail came twice and that you had to ask more than once. We will review that service internally. Please call the manager so we can make the check right."

What should restaurants never paste into a review reply?

Do not ask them to delete the review. Do not publish a ticket number or the last four of a card. Do not write that the guest was drunk. Do not offer a free meal in exchange for updated stars. Google forbids incentives to revise or remove reviews.

Can you use the same template on Google, Yelp, and TripAdvisor?

You can reuse the structure. You should still retune the last line to the platform. Google notifies the reviewer. Yelp also has Direct message for the refund talk. TripAdvisor allows one management response and you cannot edit it, only delete and resubmit. A long, messy first post on TripAdvisor is harder to fix.

Should every restaurant review get a reply, including 5-star posts?

If diners can see the thread, a short specific reply is the professional default. Five-star posts are where you prove you read. One-star posts are where you prove you can take a hit without a fight. Skipping only the negatives looks like you moderate praise and hide complaints.

If volume is the blocker, write the 1-star and 2-star replies first the same day, then catch 4-star and 5-star posts with a named dish before the week ends.

How long should a restaurant review reply be?

Four to seven sentences is enough for a 1-star miss. Two to four sentences is enough for a 5-star rave. If you need a paragraph about prep, food cost, or a vendor, you are writing for yourself. Cut it. The guest wanted a warm plate or a thank you.

Take the 1-star and 5-star composites above, replace the names and dishes with the ones in your latest two reviews, and post those two replies today. Leave the leftover template sentences on the cutting-room floor.
