Google Review Answer Examples: 100+ Replies by Star and Situation

These are 100+ labeled composite Google review replies, grouped by star rating and then by situation. They are not scraped from real businesses. Change the names, the facts, and the offer. How to use this list without getting in trouble. Each block is a shape: thank, name the detail, fix or invite private follow-up, stop. Do not offer money, discounts, or free goods in exchange for a new review, an edit, or a deletion. Google forbids those incentives. Do not stuff city and service keywords into a thank-you. Do not confirm a medical visit in public. Do not dump a staff member in the reply box. Google reviews owner replies before they go live (manage reviews), so advertising, personal data, and harassment can hold or reject the post. If the review looks fake, flag it instead of litigating. 1-star examples (composites 1–20)
- Wait, restaurant. Review: “Sat 40 minutes with a reservation.” Reply: “Thanks for coming Saturday, Priya. Forty minutes on a reservation is not acceptable. We added a host for the 6–8pm seatings. Email the name on the listing and we will set the next booking.”
- Wrong order. Review: “Got someone else’s food cold.” Reply: “Luis, sending the wrong ticket and serving it cold is on us. Kitchen lead reviewed the ticket flow this morning. Call the number on the listing so we can make the visit right.”
- Rude staff. Review: “Host rolled their eyes.” Reply: “Ava, you should not have been met that way. I spoke with the front-of-house manager today. Please use the email on our listing so I can follow up with you directly.”
- No-show contractor. Review: “Nobody came for the 1pm window.” Reply: “Derek, missing a 1pm window is a failed job, not a mix-up we will shrug off. Dispatch is calling you today at the number on the work order.”
- Hotel room. Review: “AC dead, front desk shrugged.” Reply: “Naomi, a night without AC and a shrug at the desk is not the stay we sell. Engineering logged 214. Please email the address on the listing so we can discuss the night.”
- Dental wait. Review: “Waited an hour past my appointment.” Reply: “We are sorry you waited an hour past the appointment time. That is not how we run the book. Please call the office number on the listing so we can talk about the visit without putting details here.”
- Salon damage. Review: “Hair fried after bleach.” Reply: “Jordan, that is not the result we aim for. The owner wants to see the hair in person. Call the salon number on the listing and ask for Maya.”
- Dealer finance. Review: “Numbers changed at signing.” Reply: “Chris, if figures changed at signing, we need the worksheet in front of us. Ask for the GM at the main number. We will not debate the math in this thread.”
- Property heat. Review: “No heat for three days.” Reply: “Sam, three days without heat is a maintenance failure. A supervisor is on the work order today. Use the resident line on the listing if you do not get a same-day call.”
- Billing. Review: “Charged twice.” Reply: “Rin, a double charge should never hit your card. Send the last four digits and the date to the email on the listing. We will trace the batch.”
- Food safety. Review: “Found hair in the soup.” Reply: “Elena, that should not have reached the table. The kitchen pulled the batch and retrained the pass. Please email us so we can take care of that check.”
- Delivery. Review: “Driver left food in the rain.” Reply: “Omar, leaving the bag in the rain is on the drop, not on you. We flagged the driver note. Call the shop and we will replace the order.”

2-star examples (21–40)

- Hotel late clean. “Room ready at 4pm.” “Noah, a 4pm room on a noon ETA is a failed arrival. Front office has your confirmation. Email us if the late clean still needs a make-good.”
- Oil change wait. “Promised 45 minutes, took two hours.” “Gil, a two-hour oil change off a 45-minute quote is a bad quote. Service writer will call you about the next drop-off window.”
- Salon running behind. “Color started 25 minutes late.” “Priya, 25 minutes late on color throws the whole day. We will book a buffer on your next color if you still want us.”

- Out of stock. “If we listed it as available, that is on us. Call the desk and we will check the back or order it.”
- Weather / out of your control, still reply. “The storm closed the bridge and delayed our crew. We should have texted sooner. Glad you finally got the visit.”
- Duplicate review from same stay. “Thanks for writing twice. We are treating this as one stay and following up on the AC note.”
- Legal-sounding accusation. “We take this seriously. Please contact the office with the date so we can review it. We will not litigate the claim in a public reply.”
Bad reply versus better reply
Bad (1-star wait): “We were slammed and you should have seen the lobby. Not our fault.”
Better: “Forty minutes on a reservation is on us. We added a host for that seating. Email the listing address with the name and we will set the next table.”
Bad (5-star): “Thanks! Family-owned downtown Italian restaurant in Springfield serving authentic handmade pasta since 1998!! Book now!!”
Better: “Thanks, Gia. Glad the carbonara was the one. See you Thursday if you want the special.”
