Review Answer Templates for Hotels

Hotel review templates work only after you swap in the room, the night, and the issue the guest named. Paste jobs read as a chain memo. Guests compare your public reply with the stay they just had, then they decide whether to book you next time they search Maps or TripAdvisor.
Google's manage reviews page (https://support.google.com/business/answer/3474050) requires a verified owner, posts the reply as the business, reviews it for policy, and notifies the guest. Guests can edit after you answer; the date updates, and you can edit or delete your reply. TripAdvisor's owner help states you get one management response per review, posting can take up to two days, you cannot edit that response, and you can delete it and submit a new one. Local ranking on Google (https://support.google.com/business/answer/7091) uses relevance, distance, and prominence, and prominence includes reviews and ratings. Replies "show that you value their feedback." Google has not named owner replies as a ranking factor. Google's prohibited content rules (https://support.google.com/business/answer/2622994) still apply: no personal information such as a full guest name plus reservation ID in public, no ads, no incentives to revise or remove reviews.

Every example below is a labeled composite, not a real hotel or guest.
How should a hotel answer to a 1-star stay review?
Own the night they described, give a night manager path, and keep folio fights off the listing. Do not write that most guests love you. That sentence tells this guest their stay did not count. Future bookers only need to see that someone with a key to the desk read the AC, noise, or dirt complaint.
Composite example, 1-star, broken AC:
"Hi Jordan, I'm sorry the AC failed in your room on Saturday night and that the fan we sent did not cool the space. Please email nights@example.com with your check-in date so we can review the stay and make this right. We will not post reservation details here."

How should a hotel answer to a 2-star review?
Two stars often mix a working bed with a loud hallway, a slow check-in, or a missed housekeeping visit. Thank anything that worked. Own the miss with a clock if they gave one. Readers of a 2-star stay are often still willing to return if the public note sounds like the night manager saw the same problem.
Composite example, 2-star, late housekeeping:
"Hi Priya, thank you for saying the bed was comfortable. I'm sorry housekeeping missed your room until 4 p.m. and that you had to call twice. Please contact the front office so we can look at that floor's list for your dates."
How should a hotel answer to a 3-star review?
Three stars are a stay someone would repeat if one friction dropped. Treat the friction as real. Do not upsell a suite in the reply. Google restricts advertising in review spaces, and a sales pitch next to a complaint reads cheap.
Composite example, 3-star, slow breakfast and kind staff:
"Hi Marcus, we are glad the desk team helped with the late checkout. I'm sorry breakfast ran a 25-minute line on Sunday. We will take that timing to the morning manager. Thank you for the honest note."
How should a hotel answer to a 4-star review?
Four stars are a near-win, not a crisis. Name the pool, the pillow, or the view they liked. Acknowledge the small miss without a 1-star apology. A weak shower and a great pool can live in the same paragraph if you keep the sorry proportional to the nit.
Composite example, 4-star, loved the pool, weak water pressure:
"Hi Dana, thank you for the kind words on the pool. I'm sorry the water pressure in the shower was weak. We will log that room with engineering. We hope to host you again on your next trip through town."
How should a hotel answer to a 5-star review?
Echo one specific delight from the stay they described. If they named a night auditor, pass the praise along using that first name. Skip luxury-boutique-in-downtown keyword padding. Other travelers use 5-star replies to decide which room type to request.
Composite example, 5-star, named staff:
"Hi Sam, thank you. We will tell Nia you noticed how fast she replaced the extra towels at 11 p.m. We are glad the courtyard room worked for your anniversary."
How should you reply to noise, construction, or a party next door?
Say you are sorry they could not sleep, then offer a room move or a future date adjustment in private. Do not argue that city hotels are noisy. Do not name the other guest. The next booker wants to know you will move someone, not that you will lecture them about traffic.
Composite example, hallway noise:
"Hi Alex, I'm sorry the hallway noise kept you up after midnight and that we did not offer a room move until morning. Please email the front office so we can review that night and look at options for your next stay."
How should you reply to a billing or resort-fee complaint?
Regret the surprise on the folio, then take amounts off the page. Do not itemize other guests' charges. Do not promise a refund in public before you check the rate rules. A destination fee fight belongs with accounting, not with every traveler who opens Maps.
Composite example, unexpected fee:
"Hi Kim, I'm sorry the destination fee was not clear at booking and that it showed up at checkout. Please call the accounting desk so we can walk through your folio with you. We will not post amounts here."
How should you reply on TripAdvisor versus Google?
On Google you can edit or delete your reply later if the guest edits the review. On TripAdvisor you get one management response, it may take up to two days to appear, and you cannot edit it. You can delete it and submit a new one. Write the TripAdvisor version as if it will sit unchanged.

How should you reply when a guest names a staff member in a complaint?
Keep discipline indoor. Apologize for the outcome they felt, such as the wait at the desk or the missed wake-up call. Invite a private conversation. Do not write that the agent was new, tired, or has been spoken to. Coaching belongs in a huddle, not on the listing.
Composite example, front desk complaint:
"Hi Morgan, I'm sorry check-in took 40 minutes and that nobody came out from the back office. We will review that arrival. Please ask for the duty manager so we can look at your reservation with you."
What should hotels never say in a public review reply?
Do not post a confirmation number. Do not describe a guest's medical device. Do not ask them to take the review down in exchange for points. Google forbids incentives to revise or remove reviews. Do not sarcastically welcome them back to reality.

Can a hotel chain use one template across every property?
You can share a structure: greeting, stay detail, miss, private path. Each property still needs the local fact: which wing, which restaurant, which shuttle. A downtown airport inn that thanks someone for "the vineyard view" looks like nobody opened the review.
If a brand team drafts from a dashboard, the last editor on property should still add the room-level detail.
Should you answer to reviews that mention a competitor hotel?
Stay on your stay. You can be sorry your shuttle was late without rating the hotel down the street. Naming a rival in a defensive paragraph turns your listing into a comparison ad and can read as off-topic. If they booked the wrong property, invite them to send the confirmation privately so you can sort the mix-up.
How soon should a hotel answer to a review?
Same day when a 1-star or 2-star stay is still in house or just checked out. You may still be able to move the guest. For post-stay reviews, reply within a day if you can. Speed matters most while the guest is still sleeping down the hall.
A week-old sorry about the AC after they already flew home is still worth writing for the next reader, with a private email for the folio.
Copy the 1-star AC composite and the 5-star staff composite, replace the facts with the two most recent hotel reviews on your listing, and publish those two replies before the next shift change.
