Review Answer Templates for Property Managers

Property managers should answer reviews as housing operators, not as courtroom opponents. Separate residents from applicants. Name the maintenance delay or the tour miss they already published. Move lease amounts, unit numbers, and neighbor disputes off Google. Rewrite every template line. Do not paste.
Google's manage reviews help (https://support.google.com/business/answer/3474050) requires a verified owner, posts the reply as the business, reviews it for policy, and notifies the writer. They can edit after you answer; the date updates, and you can edit or delete your reply. Local ranking (https://support.google.com/business/answer/7091) uses relevance, distance, and prominence. Prominence includes reviews and ratings. Replies "show that you value their feedback." Google has not named owner replies as a ranking factor. Prohibited content (https://support.google.com/business/answer/2622994) bars personal information, harassment, advertising, and incentives to post, revise, or remove reviews. A public reply that lists a tenant's unit, balance, or workplace can fail those rules and can fail basic privacy. Report only policy-violating reviews; you cannot delete a legitimate complaint yourself.
Do not paste these blindly. Generic copy still reads as neglect. Use review response templates as a skeleton. Portfolio notes sit on the real estate industry page.
Every example below is a labeled composite, not a real community, resident, or applicant.
How should a property manager answer to a 1-star resident review?
Apologize for the living condition they described, give a work-order path, and keep the lease fight private. Do not post that they are behind on rent. Future applicants read 1-star housing reviews as a test of whether anyone runs the building, not as a trial about their neighbor's ledger.
Composite example, 1-star, ignored work order:
"Hi Jordan, I'm sorry the AC work order sat for nine days in July and that you had to write a review to get a status. Please email the community manager so we can pull that ticket and finish the repair. We will not discuss your lease on this page."

How should you answer to a 2-star review about noise or neighbors?
Be sorry they cannot rest. Invite a private report. Do not identify the other household. Do not announce an eviction in public. Noise cases live in the incident file, and naming a neighbor on Google is both a privacy miss and a way to start a second fight.
Composite example, 2-star, overnight noise:
"Hi Priya, I'm sorry the overnight noise has gone on after you already reported it. Please contact the office so we can review those reports with you. We do not discuss other residents in public reviews."
How should you answer to a 3-star review?
Three stars often mix a decent unit with slow communication. Thank the part that works. Own the inbox with a time if they gave one. A four-day email lag is an operations miss, and applicants will assume the same lag will hit their work orders after they sign.
Composite example, 3-star, slow email:
"Hi Marcus, thank you for saying the unit itself is fine. I'm sorry office emails took four days. Please use the emergency line on your welcome sheet for anything that cannot wait, and we will reset our response target with the team."
How should you answer to a 4-star review?
Four stars are a renew-or-not moment. Name the amenity they liked, such as the gym. Nod at the small miss, such as a messy package room. Keep the sorry proportional. You are talking to a resident who might stay, and to applicants who are comparing two communities on Maps.
Composite example, 4-star, gym good, package room messy:
"Hi Dana, we are glad the gym has been useful. I'm sorry the package room was a mess last week. We will take that to the desk team. Thank you for staying with us."
How should you answer to a 5-star review?
Pass the praise to the person they named: a tech, a porter, or a leasing consultant. Repeat the fact they gave, such as a quiet courtyard or a same-day leak fix. Skip neighborhood keyword stuffing. Other residents use 5-star replies to see whether the staff they will actually meet got thanked.
Composite example, 5-star, named tech:
"Hi Sam, thank you. We will tell Luis you noticed he fixed the leak the same afternoon and left the cabinet clean. We are glad the apartment is working for you."
How should you answer to an applicant or tour review?
Applicants are not residents. Do not imply they were approved or denied in the reply. Be sorry the tour was late or the photos were off. Invite them to finish the conversation by email. Application decisions stay off review sites, including a public hint that someone "did not qualify."
Composite example, applicant, late tour:
"Hi Alex, I'm sorry the tour started 25 minutes late and that the consultant did not text you. Please email leasing so we can reschedule and answer your remaining questions. We do not post application decisions on review sites."
How should you reply to a maintenance delay?
Give a clock if they gave a clock. Offer the work-order path without repeating their unit number. If the delay is still open, say you are on it and move status updates to email or the resident portal. A nine-day AC gap is the fact. The unit number is not for Maps.
Composite example, open delay:
"Hi Kim, I'm sorry the dishwasher has been out since the 12th and that parts news was slow. Please email maintenance@example.com with your work order so we can give you a current status. Thank you for the patience you should not have had to spend."
How should you reply to a review that mixes a resident complaint with a legal claim?
Do not litigate habitability, deposits, or discrimination as a legal conclusion on Google. Take it seriously, move to the channel counsel prefers, and keep personal data out. Get counsel before you apologize in a way that sounds like an admission on those claims.
Composite example, holding reply:
"Hi Lee, we take the concerns you raised seriously and we want to speak with you directly. Please contact the community manager by email. We will not discuss lease or personnel details in a public review."
How should you reply when an applicant says the listing photos were wrong?
Be sorry the tour did not match the photos they saw. Invite a second walkthrough of current units. Do not mock them for internet pictures. Do not attack a former photographer. Listing photos go stale, and the public reply should own the mismatch without a branding speech.
Composite example, photo mismatch:
"Hi Morgan, I'm sorry the kitchen on the tour did not match the photos you saw online. Please email leasing to set another walkthrough so we can show current units. Thank you for writing."
What should property managers never say in a public review reply?
Keep unit numbers, balances, employers, children's names, and disability details off the listing. Do not waive a late fee in public as a trade for deletion. Google forbids incentives to revise or remove reviews. No neighbor naming. No sarcasm about professional tenants.
See what not to say when answering to a negative review and the Google review answer policy guide. More copy to rewrite: Google review answer examples.
BoltReply is a Chrome extension that drafts replies inside Google, Yelp, and TripAdvisor in about 5 seconds. Your edit pass should strip unit numbers and any deletion bargain.
Should regional teams or on-site staff post the reply?
Google posts the reply as the business, not a personal name. Internally, on-site should supply the work-order fact, and a trained manager should hit publish. A regional paste job that thanks someone for "the downtown rooftop pool" at a garden-style site tells residents the brand does not know the property.
Can you answer to reviews from people who never lived there?
If it reads like a real tour or a real vendor visit, answer the event they described. If it reads like spam or a conflict of interest, flag it and keep the public note free of fraud accusations. You still cannot remove a legitimate negative review yourself.
Do apartment review replies affect local SEO?
Google has not named owner replies as a ranking factor. Prominence includes reviews and ratings. Helpful replies can help a business stand out. For leasing, the practical reader is an applicant comparing two communities on Maps. A calm note under a nine-day AC delay will not erase the delay. It will show whether anyone runs the building.
How should you reply when a former resident reviews months after move-out?
Treat it as a resident review of a past stay, not as an applicant tour note. Be sorry for the condition they described if you can check it. Invite a private email about the deposit or the last work order. Do not post move-out charges. Time passed does not make a ledger public.
Should you answer to reviews that name a specific building in a multi-community portfolio?
Yes, and use that building's facts. A reply that thanks someone for the rooftop at a garden-style site tells residents the brand mixed up the keys. Google still posts as the business on that profile. Internally, the community manager who owns the work orders should supply the detail before anyone hits publish.
Rewrite the 1-star work-order composite and the 5-star tech composite with facts from your two latest reviews, strip every unit number, and post both replies before the office closes.
